LISTING MARKETING MANAGER

Coordinate all aspects of the sellers transactions from initial contact to the executed purchase agreement including marketing support.

  • Oversee all aspects of seller’s transactions from initial contact to executed purchase agreement.

  • Prepare all listing materials: pre-listing presentation, listing agreement, sellers’ disclosures, comparative market analysis, pull online property profile, research old MLS listings, etc.

  • Coordinate with sellers on all property photos, staging, repairs, cleaning, signage, lock-box, access requirements & marketing activities.

  • Obtain all necessary signatures on listing agreement, disclosures, and other necessary documentation.

  • Coordinate showings and obtain feedback.

  • Provide proactive weekly feedback to sellers regarding all showings and marketing activities.

  • Coordinate all public open houses and broker open houses.

  • Input all listing information into MLS and marketing websites and update as needed.

  • Submit all necessary documentation to office broker for file compliance.

  • Input all necessary information into client database and transaction management systems.

BUYER TRANSACTION COORDINATOR

Complete transaction coordination supporting the Buyer’s agent, starting with the purchase agreement process through the fulfillment process.

  • Review purchase agreement, counteroffers, all addendum’s.

  • Ensure everything is fully executed with proper dates, initials, signatures, and the broker information is completed.

  • Ensure seller disclosures are provided within contract timelines.

  • Order title commitment and clear any conditions on title commitment

  • Follow up with Listing Agent regarding city inspections, septic inspections and obtain documentation for client

  • Prepare all disclosures; including state specific and broker specific forms

  • Ensure buyer is provided a copy of all reports and booklets that are provided and/or required

  • Track the escrow time-frames for receipt of earnest money deposit, and delivery of HOA documents as applicable

  • Scheduled and confirm closing date, location, and time for buyers

  • Confirm all repairs that seller is obligated to perform are completed and obtain receipts for buyer

AGENT RESPONSIBILITIES

  • Schedule all Appointments i.e. home inspection, termite, final walk through, etc.

  • Negotiate repairs or any changes to contract

  • Advise the client regarding contingency removals (we will remind of you all dates and time-frames)

  • Final walk through with buyers and Key exchange for Occupancy (if needed)

  • Agent will need to deposit EMD check and send a copy to your Transaction Coordinator

LISTING TRANSACTION COORDINATOR

Complete transaction coordination supporting the Sellers’s agent througout the purchase agreement process, vendor and timeline management.

  • Contact all parties and introduce our role in the transaction as your Personal Closing Facilitator

  • Thoroughly review the purchase agreement, counter offers, and amendments to ensure each document is fully executed with proper dates, initials, signatures and broker information

  • Supply the executed purchase agreement to all parties involved in the transaction

  • Order title commitment and clear any conditions on title commitment

  • Enter all of the contacts, appropriate dates and documents into the transaction management service software – we will then invite all parties involved

  • Upload all documents, disclosures, and reports into the transaction management service software as each one is received or fully executed throughout the transaction process

  • Ensure that escrow has received all documents including home warranty invoices, commission instructions, and any other required documents

  • Track escrow time-frames for receipt of earnest money deposit delivery and delivery of HOA documents as applicable

  • Order payoff of seller’s current mortgage

  • Maintain weekly contact with all parties involved for status updates as well as items needing attention or that are outstanding

  • Prepare any addendums needed for transaction (sales price change, extension, private inspection addendum, etc.)

  • Confirm all repairs that seller is obligated to perform are completed and obtain receipts for buyers

  • Remind seller to order final water reading and give instructions where to send the final bill
